Switch to flexible workplaces

Has your company already switched to flexible workplaces? An increasing number of employers make the switch. This is also known as: The New Way of Working, activity-based working or hot desks. With these concepts, office users don’t have a dedicated workplace, but share the desks. They simply use desks that are available. They also use special or scarce workplaces that, they booked in advance. But what exactly are the advantages and disadvantages of this?

For many companies, large cost savings are the main driver. But flexible workplaces brings more benefits. For example, a shared desk increases the dynamics in the organization. As an office user you engage with more colleagues, what else wouldn’t happen. This stimulates communication and knowledge exchange. Improved knowledge exchange ensures that employees respond to something faster. In a traditional office you also meet others, but not often at someone’s desk. Usually this happens in a meeting room as a result of a scheduled appointment. By switching to shared desks, employees are more likely to start a conversation, because they can be sitting next to someone else, every day. This increases serendipity and all which results from it.

Giving up your own dedicated desk, seems to take some getting used to. When a company switches to shared desk, it often goes hand in hand with other innovations. For example, opportunities arise for working at home or more flexible personal working hours. These often increase freedom of choice.

The aforementioned advantages mean more creativity and a better process for the employee. For the employer it saves energy and space, because there are simply fewer workplaces needed. In addition, employees will perform better, which is more profitable.

Switching to shared desk also brings various disadvantages (unfortunately). Some employees think that such an innovative office doesn’t fit the organization or themselves. But that isn’t the biggest disadvantage. It’s difficult to determine the optimal number of shared desks. If there are too few desks, not everyone can work productive. But if there are too many, the office users will choose a permanent place and hardly change desks. Then ofcourse the employer also spends to much money on office space. Then the concept of shared desk is of little use.

Also it’s a disadvantage that shared desk can cause many personal irritations for office users. For example, the office equivalent of the ‘towel dash’. This is one of the biggest irritations. Do you know those people in vacation resorts, who run to claim a sun lounger at the pool with a towel, when it opens and then go somewhere else? This is also happening nowadays in the office buildings with shared desks. People come to the office very early, to claim a desk with their belongings. Then they go somewhere else, like sit in a meeting room or something. This leads to a lot of irritation among colleagues who fish behind the net as a result. In addition, it is also difficult to find your colleague, if they no longer have a dedicated desk. They can be anywhere in the building or even in another location.

In order to reduce or even eliminate these disadvantages, Officelynq has developed an app and Officelynq Management Portal. Has your office already switched to shared desk and do you also experience these disadvantages? Then contact us to discuss your possibilities!
